Church Administrator
The Church Administrator serves the congregation by supporting the pastors, leaders, and congregants in achieving our purposes.
This position reports to the Chairperson of Church Council. A review of the Administrative Assistant and the position will be conducted each year by the Chairperson of Church Council, taking into consideration the Pastor’s evaluation report and will be reported to Council.
This will be a 0.5 FTE position; 20 hours per week; 5 hours per day Monday - Thursday. On occasion, some tasks may require working outside this time frame, in which case compensatory time off will be taken from the usual office hours.
A yearly Memo of Understanding will outline salary and benefit details. Benefits include pension, LTD and life insurance, vacation and statutory holidays, and sick days.
Qualifications:
Sterling Mennonite Fellowship is searching for someone to fill this role who embodies the following traits and skills:
Ability to relate to church members and the public in ways that reflect and enhance Sterling Mennonite Fellowship’s purpose and values.
Proficiency in typing, writing, and editing, in proper Canadian English.
Proficiency in recent versions of Microsoft Office (including Word, Excel and Outlook) and other software, including Google (Docs, Sheets, Slides, etc.), and Power Church accounting and database software.
Ability to organize and maintain efficient and logical hard-copy and digital filing systems.
Commitment to confidentiality in all situations.
Duty Areas:
There are three main areas of responsibility for this position. The Church Administrator will work closely with individuals and committees of Sterling such as Church Council, Trustees, Worship Committee, and the Treasurer to accomplish shared goals.

1) Administration/Reception
Provide administrative support to the pastor(s) and the church’s programs.
Answer and direct phone calls, mail and emails as required.
Warmly welcome people as they visit the church building, helping to answer questions or directing them to the right places and people who can assist them.
Facilitate centralized communication for the congregation via weekly emails, mail, or other means.
Record and distribute minutes of Church Council and congregational meetings.
Coordinate, prepare, and distribute Sterling’s Annual Report.
Maintain electronic and/or paper files of minutes, archives, and other documents as required.
Process and maintain files of police/abuse record checks and all Safe Place Policy documents.
Maintain and update Sterling’s website and calendar.
Maintain/Update key-holder, mailbox, email, and other lists as required.
Purchase office supplies.
Prepare and distribute Sterling’s telephone directory, email lists, membership lists and records, and other records as required.
Prepare and distribute worship schedules.
Prepare and distribute Sunday bulletins.
Create Slides or other resources for worship as required.
Prepare for church celebrations such as Easter, Thanksgiving, Christmas, etc.
2) Financial
Prepare and deliver bank deposits.
Enter weekly donations.
Co-sign Sterling cheques and provide second bank approval.
Prepare and distribute annual tax receipts.
Facilitate attendee automatic bank donations.
3) Facilities
Facilitate rental bookings of the church.
Liaison between rental groups and Sterling.
Other duties as required.
